Smart Recruitment Processes

The final, nineteenth hackathon of the Hacknime.to project focused on one of the most administratively demanding activities in public administration: recruitment procedures for civil service positions. The digitalization of the testing phase of recruitment procedures will bring greater efficiency, reduced error rates, and improved data accessibility.

The result is the Smart Recruitment Processes application

The project resulted in a progressive web application that fully digitizes the implementation phase of recruitment procedures, from test preparation and written and oral examinations to the automatic generation of complete documentation. The application works on any device with a web browser and requires no installation.

The secretary manages the entire process, creates recruitment procedures, adds candidates and committee members, uploads materials, and assigns tests. Individual steps are simplified through bulk import functionality. During testing, the secretary can monitor timers, live results, and the status of multiple parallel recruitment procedures in real time. Once the process is completed, the system generates the full documentation automatically with a single click.

Subject matter administrators create questions directly in the application or import them from Word or PDF files. All questions are stored in a shared database filtered according to legislation, allowing them to be reused across the organization.

The committee can view candidate materials such as CVs and certificates, along with test results, in one place. During oral interviews, the system evaluates results digitally and immediately flags any unauthorized discrepancies before the evaluation is finalized.

Candidates log in using temporary credentials via ID and PIN. After completing the test, they immediately see their results along with the correct answers. Randomized question order and timers ensure fair conditions for all participants.

    The system continuously checks committee evaluations and immediately alerts users in the event of conflicts.

    The secretary can switch between parallel recruitment procedures within a single dashboard.
  • Faster test creation
    Subject matter administrators can import existing tests into the application or use a shared question database. No more creating the same questions from scratch.
  • Compatibility
    The application runs directly in a web browser on tablets, laptops, and mobile phones. It can also be installed as a PWA.
